Start by deciding whether you need a selected area, a supported application, your whole display, microphone narration or a hosted sharing link. Those requirements narrow the choice more usefully than a list of “best” tools.
This guide focuses on Windows PCs. It retains eight commonly considered tools, updates their current limitations, and adds a Windows 11 route for a quick capture. Free-plan details were reviewed in October 2026; check the official pages before relying on them for a recurring workflow.
The quickest free route on Windows 11
For a rectangular recording, try Snipping Tool’s video capture before installing another application:
- Open the content you want to show and close unrelated windows.
- Press Windows + Shift + R, or open Snipping Tool and choose Record → New.
- Select the recording area. Leave room for any menus and dialogs needed in the demonstration.
- Select Start, perform the task, then select Stop.
- Save the recording and watch it to check the captured area and any required audio.
Windows + Shift + S captures a screenshot rather than a video. These video steps apply to Windows 11; the Windows 10 Snipping Tool should not be assumed to have the same capability.

A free recorder may have a time limit, an account requirement or a restriction on business use. Separate the cost of recording from the availability of editing, cloud storage and distribution.

1. OBS Studio: free capture with control over the result
OBS Studio is free, open-source recording software. On a Windows PC, you can build a scene from sources such as a display, application window and webcam, with audio controls for the sources you need. This suits a recurring workflow where you want to configure the same recording layout and reuse it.
Follow the official quick-start guide: configure the recorder, add a source, check audio, choose an output location and make a test recording. Start with one application window instead of assembling an elaborate scene immediately.
Judge the saved result, not just the preview or moving audio meters. Decide how you will edit and share the file after capture. OBS is useful for recording and composition; choose a video editor separately if your deliverable requires timeline editing.
2. ShareX: capture and repeatable sharing tasks
ShareX is free, open-source Windows software that includes screen recording, GIF recording, screenshots and file-sharing tools. It is worth evaluating if you often capture material and want to configure what happens afterward.
Check the actual recording workflow and settings before adopting it. ShareX’s image editor and OCR tools concern still images; their presence does not mean you can use all those tools to edit a video.
Review after-capture tasks and upload destinations before recording customer or internal material. If you intend to keep a file locally, verify that an automatic upload is not enabled as part of the workflow. If you intend to share it, test the destination and open the resulting link. Configuration is part of the task, not evidence that the output already suits your audience.
3. ScreenPal: the current Screencast-O-Matic recorder
Screencast-O-Matic is now ScreenPal. Its free recorder supports screen and webcam capture with microphone narration, unlimited recordings and a 15-minute limit per recording. It does not add a watermark to basic free recordings, and basic recording does not require an account.
For a Windows PC, computer system audio is a paid feature. A narrated explanation using only your microphone is therefore a different requirement from recording software playback with its sound.
The desktop recording route uses the ScreenPal application; an older description of it as universally requiring no installation is misleading. Test a short clip, save the output and decide whether its available editing and sharing workflow is sufficient. Choose another route if you need a longer free take or PC system sound without upgrading.
4. Loom Starter: short asynchronous messages
Loom Starter includes screen recording, a camera bubble, system audio, comments and captions. Its current free screen recording limits are five minutes per video, 25 videos per person and 720p quality.
This can fit a concise explanation or feedback message. A longer walkthrough or a large reusable library needs a different plan or recorder. Loom documents meeting recording separately, so an unlimited meeting allowance does not remove the Starter screen recording limit.
Test the message from the recipient’s perspective. Confirm that they can open it with the intended access and that the useful details are readable. If you need to hand over a local video file rather than a hosted message, check your plan’s download options before relying on that workflow.
5. VLC: desktop capture through a player you may already have
VLC’s official recording documentation describes a desktop capture workflow. On Windows:
- Choose Media → Open Capture Device.
- Set Capture mode to Desktop and choose a frame rate.
- Open the arrow beside Play and choose Convert.
- Choose an output profile, browse to a destination file and select Start.
- Use Stop when finished, then open the file at the destination you selected.
The original Play-only shortcut does not describe the complete save workflow. Do not assume the recording will appear in Videos automatically, or that selecting Desktop also configures microphone and application audio. Use a recorder with explicit audio controls if those sources are central to your task. VLC is a practical option to test for a straightforward desktop capture, rather than an integrated capture-and-editing studio.
6. Xbox Game Bar: built-in application recording
For a supported application, Xbox Game Bar lets you start and stop recording with Windows + Alt + R. Open its controls with Windows + G. Windows + Alt + M toggles the microphone, and the capture settings let you choose the audio you intend to include. Recordings save as MP4 files under Videos → Captures.
This is a useful route when the whole task occurs in a compatible app. It is not a way to capture every desktop workflow: Dell’s official guidance identifies desktop and File Explorer capture as unsupported.
Make a sample that includes any application change or dialog your demonstration needs. If Game Bar cannot capture the required sequence, use Windows 11 Snipping Tool or a suitably configured desktop recorder.
7. CamStudio: distinguish current releases from legacy advice
Current CamStudio is free Windows recording software. Its V3 documentation describes monitor, window and region capture with MP4 output. This differs from old descriptions centered on AVI and SWF.
Version matters for narration. The official changelog lists microphone recording as a known issue in version 3.0. The 3.1 Beta overview describes microphone selection and microphone-only, application-audio-only or combined recording, while noting possible crackling when mixing microphone and application audio on some setups.
If you evaluate it, check which release you are using and make a saved audio test. Do not assume that an old tutorial describes the current program or that a beta feature is available in a stable release. The important result is a usable clip from your particular capture and audio combination.
8. ScreenRec: personal-use free plan with an account boundary
ScreenRec’s current Free Forever plan is for personal use only. It includes screen, camera and audio recording, no watermark, up to 720p quality and 2GB of cloud storage.
Unregistered users have a five-minute recording limit; creating a free account removes that limit. Unlimited recording length does not mean unlimited storage. Business use is allowed on the paid Pro plan and above, so do not select the personal free plan as a blanket solution for company support or training.

Illustrative example: a Windows user needs to record an application plus File Explorer. Game Bar’s documented target restrictions make it an unsuitable starting point for the complete sequence. A rectangular Snipping Tool recording on Windows 11, or an OBS display capture, is a more relevant route to test.
